Profit

Did the period make money? Sales and the delivery you collected, less refunds, the cost of the goods sold, written-off stock and every expense - down to the profit and the margin, each line opening to the orders or entries behind it. Add income from outside the shop by hand, hide a row to leave it out, and download as CSV or Excel.

The Reports → Profit screen answers the question no other report asks outright: did the shop make money in the period? It takes your sales, subtracts refunds, the cost of the goods sold and every expense, and arrives at the profit and the margin. It is an analysis report, not accounting software - your accounting documents stay where they are.

Expenses and Profit are included in the Business and Enterprise plans.

What you see at the top

The four figures summarise the whole period:

  • Net revenue - sales and the delivery you collected, plus your other income, less refunds.
  • Expenses - the cost of the goods sold, the written-off stock and every expense from Expenses.
  • Profit - net revenue less expenses. It turns green when the period made money and red when it lost.
  • Margin - how much of the net revenue is profit.

Each amount is in your shop's currency, with the other currency (euro or leva) under it. Hidden rows (see below) never count in these figures.

The profit statement

The lines read from top to bottom like a bill:

  • Sales - the goods on the period's orders, after discounts and without delivery.
  • Delivery (collected) - what customers paid for delivery.
  • Other income - income from outside the shop that you added by hand.
  • − Refunds - money given back to customers.
  • Net revenue - the lines above, added up.
  • Cost of goods - what the goods you sold cost you: the orders from your website, and the goods written off in Write-offs as Sold elsewhere. If Counting goods in Finance settings is By purchase orders, Purchase orders stands in its place - the money spent on goods in the period: received purchase orders and batches added by hand, less the goods written off as Returned to supplier (the supplier gives the money back). If you sent back more than you bought in the period, the line is a plus. That mode needs the «Inventory» module - without it the report shows Cost of goods again.
  • Written-off stock - goods that left your stock without a sale: write-offs for Damaged, Lost or stolen, Expired, Sample or gift, Stock count and Other. The line appears once the period has such a write-off, and only with Cost of goods - with By purchase orders those goods were already paid for by the purchase order.
  • One line per expense category - Delivery, Card fees, ZweiHost platform, Advertising, Rent and the rest.
  • Expenses, Profit and Margin - the result.

Press the arrow beside a line to open it in place: the orders behind your sales, the expenses in a category, your manual income, the received purchase orders, the batches added by hand and the write-offs. Cost of goods shows its orders and, apart, the goods sold outside the shop; Purchase orders the received purchase orders, the batches added by hand and what went back to the supplier. A long line shows its first 10 records and a link to the report that lists them all - the Orders report or Expenses for the same period, and for write-offs Inventory › Write-offs.

How the amounts are worked out

  • The same orders count as in the Sales report: no cancelled orders, no fast orders still waiting for confirmation and no test orders; a card order counts once it is paid. That is why sales, delivery and refunds here match that report to the cent.
  • Everything tied to an order counts on the order's date - the refund too, as in the Sales report.
  • Cost of goods comes from the product's "Cost" field, frozen on the order at the moment of the sale. A product without a cost does not count as zero - it is left out altogether, and the note under the statement says for what share of the goods sold the cost is known. Enter it on your products to complete the picture.
  • Returned goods leave the cost of goods. Once you accept a return and refund it, the units that came back are no longer goods sold: the money is under − Refunds and their cost drops out. An order refunded in full without a return keeps its cost - nothing shows that the goods came back. A return still in progress changes nothing.
  • Write-offs count on the write-off's date, at the cost the units had when they left (in «By batch», their batch's). A write-off of a product without a cost price lists its units with «no cost price» but adds nothing - a note under the line says how many there are. An undone write-off does not count. Correction costs nothing, and Returned to supplier counts only with By purchase orders - it assumes the supplier refunds the full cost; enter a fee they keep as an expense. Write-offs show only here - never in Expenses.
  • Income that repeats (a client's subscription, a monthly B2B invoice) is set once as a rule in Finance settings › Recurring entries - see Expenses. Its entries count under «Other income». The settings belong to «Expenses», so Edit the rule in such an entry shows only for a team member who can open «Expenses» too.
  • An automatic source turned off in Finance settings (the gear at the top right - see Expenses) does not count here either, past periods included.
  • Courier and card fees are recorded from the day the feature went live, and older orders are not re-priced. If the period has such orders, the note under the statement says how many - you see their revenue, but not that cost.

Manual income

Press Add income for money that came in outside the shop - a sale in person, an invoice to a company, a sale on another website. Orders from your website count by themselves; do not enter them a second time. Fill in:

  • Date and Amount - the amount in your shop's currency.
  • Category - Sales outside the shop, B2B or Other. + New category creates your own - by the same rules as the categories in Expenses.
  • Note - a customer or an invoice number, for example. The first line becomes the entry's title.
  • Attached files - up to 5 files (JPG, PNG or PDF, up to 10 MB each). They are kept in private storage and open only through a temporary link. Attaching is not switched on for every shop yet - if the field is not there, put the document's number in the note.

Manual income sits under the Other income line. Open an entry to see its note and files and to edit, hide or delete it. Deleting is final and removes its attached files too.

Hiding a row

An expense, a manual income or a write-off you do not want to count can be hidden with Hide in the opened line. Hiding is shared with Expenses: an expense hidden there is hidden here too. A hidden write-off stays in Write-offs and the stock does not change - it just leaves the sum. Switch on Show hidden (N) to list hidden rows greyed out with the amount struck through, and bring one back with Restore. Order rows cannot be hidden - they follow the Sales report.

Period

The page opens on This month. Period picks a ready period or your own range, and Clear shows the shop's whole history.

Downloading

The Download button gives exactly what you see, for the same period:

  • CSV - the statement with all its lines and amounts.
  • Excel - the statement on the first sheet, and one sheet per line with its orders or records - all of them, not just the first 10. The goods sold outside the shop have a sheet of their own after the orders of Cost of goods.

Amounts are in euro and in leva. Hidden rows stay out of the file unless Show hidden is on - then they are in it with a "Hidden" column.

On a phone

The figures sit two by two, and each statement line has a row of its own - the name and the count on the left, the amount on the right. Tap the arrow to open it.

Next step

Expenses one by one, with filters and search, are in Expenses. The monthly report for your accountant is in Reports.
