The Reports group collects the analysis- and accounting-ready tables for your shop: Orders, Sales report, Products sold, Stock losses, COD by courier and Abandoned carts. Each can be viewed on screen and downloaded. The same group also holds the НАП audit file - the monthly XML for the alternative fiscal regime, covered in Fiscal receipts & the alternative regime.
This begins the measurement phase. It only becomes useful once a few orders have gone through - on a brand-new shop these tables are empty.
Orders report
The Reports → Orders screen shows every order from your shop in one table you can filter and export.
- The four figures at the top summarise the whole filtered set, not just the page you can see: order count, total paid (goods minus discount plus delivery), average order, and delivery charged with the courier split beneath it. When a filter is on, the first tile reads "for the filter" instead of "for the period" - so a partial figure can never pass for a period total.
- Filters: a search box and a row of filter buttons - by status, by courier, by payment (cash on delivery / bank transfer / card / on account), by delivery (to office / to address / store pickup), by device, by period and by amount. Courier, payment and delivery accept more than one choice at a time (e.g. Econt and Speedy); the button shows how many are picked. On the right sit "Clear (n)" with the number of active filters, and the total number of matching records.
- The period has ready-made choices - Today, Last 7 days, Last 30 days, This month, Last month, This year - plus a custom "from / to". When the range matches one of them, the button shows its name ("This month") rather than two dates.
- Search also finds an order by number. Type #001032, 001032 or 1032 - all three find the same order. Name, phone and email searching works as before.
- The courier filter has a "No courier / store pickup" option - it shows orders with no courier at all: the ones collected from your shop, and older orders placed before you set a courier up.
- The table shows 25 orders per page. Below it you get "Showing 1-25 of 32 orders" and the page controls. The export is NOT limited to the page - the file holds every row the filter matches, not just the 25 on screen.
- Order number: the first column is the number (e.g. #001030) and links to the order in Orders, where you can act on it. This report is read-only.
- The "Total" column is what the customer paid - delivery included. The same figure appears in the export ("total paid") and in the "Total paid" line when you expand a row.
- Courier: its own column, with the courier and, beneath it, the delivery method and the office or parcel locker. An order with no courier reads Store pickup or No courier.
- Details: each row expands into two halves. On the left, "Lines" - the items with quantities and SKU, the discount applied (promo code), the delivery line and Total paid. On the right, "Delivery & payment" - courier, waybill and label state, payment method and COD payout state, device and source, address, and the documents issued (invoice / summary invoice, goods note, Annex 18a) with their numbers.
- Dual currency: amounts are shown in both EUR and BGN.
- Dates follow your BackOffice language - in Bulgarian they read 17.08.2026 and 21:52.
- On a phone each order is a card instead of a table row - number, status, customer, date and courier - and expands the same way.
- Downloading: the Download button opens a menu with Export CSV and Export Excel. The file holds the currently filtered rows with the regular and sold price per item, and is Cyrillic-safe (Excel opens it correctly).
- The file is accountant-ready. Every row carries delivery, total paid (goods minus discount plus delivery - what the customer actually paid), tax base, VAT and the rate. VAT is not added on top: your prices are final, so the base is backed out of the amount paid. If your company is not VAT-registered, the VAT columns stay empty - no invented rate is printed.
- The courier and delivery are in the export too. Besides the order number, every row holds the courier, delivery method, office / locker, waybill, the label state and the COD payout state. Two of those columns are deliberately left blank when the question does not apply: the label on an order with no courier, and the COD payout on a card or bank-transfer order. That way the column shows only the rows where you are actually waiting for money.
- The Excel file has two sheets. The first is per order; the second, "Order lines", has one row per product (with SKU, quantity and unit price) plus a row for delivery, each with its own tax base and VAT. A promo discount is spread across the lines before the tax is worked out, and the rounding is absorbed so the lines sum to the order to the cent. CSV is a single table, so it holds the order sheet only - download Excel for the per-product breakdown.
This report is the detailed, line-by-line record - use it when your accountant wants to see the specific orders for a period.
Sales report
The Reports → Sales report screen gives a per-month summary of sales with the VAT split - the figure your accountant puts on the VAT return.
- The four figures at the top: sales, refunds, net sales and - depending on whether your company is VAT-registered - VAT with its tax base beneath it, or delivery with the shipment count. A shop that is not registered gets the figure it actually has instead of an empty "VAT 20%" tile.
- Pick a month with the arrows "‹ August 2026 ›" or from the dropdown. Only completed past months are offered - the current, unfinished month is not. On the right sits a "VAT: registered · 20%" or "VAT: not charged" badge, so you can see which regime the report is on.
- What it shows: total sales, the split by payment method (cash on delivery / bank transfer / card / on account), an "incl. delivery" line, a refunds line (a deduction) and net sales (sales − refunds). VAT-registered shops also get the tax base and VAT; unregistered ones get the Art. 113(9) note under the table. Amounts are in EUR and BGN.
- "Incl. delivery" is part of sales, not added to them. The line shows how much of the month was delivery - useful when checking a courier invoice. The count beside it is shipments (orders that went out with a courier) - a store pickup is not a shipment.
- "By courier": the same orders, split by the courier that carried them - order count, sales, delivery charged and COD collected (the cash taken from the customer on delivery). Orders with no courier (collected from the shop) get their own row. The rows sum to the totals above. The block is also the second sheet of the Excel file.
- Courier filter: you can narrow the report to one courier. Every figure is then that courier's only, the "By courier" block is hidden (one row is not a breakdown), and the PDF and Excel files carry the courier's name in their heading and in the filename - so they cannot be mistaken for the full month. Do not hand your accountant a filtered report instead of the monthly one - the VAT return needs the whole month.
- Which orders count: orders placed during the month, excluding cancelled ones, unfinished "fast orders" (awaiting contact) and test orders. Card orders count only once paid; cash on delivery, bank transfer and on account count when placed. Refunds sit on the separate "refunds" line: for an item return, exactly the amount refunded, even when only part of the order came back; for a card payment refunded in full, the whole order. Items the customer refused at the door with Econt Izbor were never sold: once you confirm them on the order, the sale is only what was paid (see Orders).
- Downloading: the Download button opens a menu with PDF (report) - a formal report with your company details, the period, your shop's letterhead (from your current settings) and numbered pages - and Excel with the same figures for further work, including the "By courier" second sheet when the report is not filtered.
- On a phone the tables become a list: the item and its count on the left, the amounts on the right.
The summary is deliberate - the detailed orders for the same period are in Reports → Orders. Note: this report is not the VAT sales journal (that's kept from your invoices in accounting software); it provides the control total.
Products sold
The Reports → Products sold screen shows which products sell best: how many units, in how many orders, for how much and at what discount.
- The four figures at the top summarise the whole filtered list, not just the page you can see: units sold, different products (and how many your catalogue holds), item revenue (delivery excluded) and discounts given as a share of the regular price.
- Which orders count - the same as in the Sales report: orders placed in the period, excluding cancelled ones, unfinished "fast orders" and test orders; card orders only once paid. Refunded orders stay in, as they do on the Sales report's "Sales" line. That is why revenue here equals the Sales report's sales minus delivery.
- Revenue is what was actually paid. A promo-code discount is spread across the order's items by their value, so the rows add up to exactly what was paid for the goods. Discount is the campaign markdown (regular minus sale price) plus the share of the promo code.
- Filters: search by product name, variant or SKU, by category (the product's main category; only categories with sales in the period are offered), by courier, payment and period. "Clear (n)" and the number of products found sit on the right.
- The table has one row per product, best sellers first: photo, name, variants and SKU, category, units, orders, revenue, discount and its share of revenue with a bar. 25 products per page.
- A deleted product stays in the report under the name it sold under - the orders keep what was bought.
- Downloading: the Download button opens a menu with Export CSV (one row per product) and Export Excel - the same sheet plus a second, "By variant", with a row for every variant and SKU. Both files hold every filtered product, not just the 25 on screen.
- On a phone the list becomes a "By product" card - photo and name on the left, revenue, units and share on the right.
Stock losses
The Reports → Stock losses screen shows what the stock you lost without a sale cost you - by reason, by product and by month - so you can see, for example, whether losses or theft are rising. The report totals the records in Write-offs.
- What counts as a loss: the six reasons in the "Loss" group - Damaged, Lost or stolen, Expired, Sample or gift, Stock count and Other. Correction, Sold elsewhere and Returned to supplier are not a loss: they sit in a separate "Not a loss" block at the bottom and never join the loss figures. An undone write-off counts nowhere.
- The value of each record is units × the cost price the units had when they left: in «By batch» the batch's, otherwise the average or the latest cost price at that moment. It is the same amount as the "Value" column in Write-offs and the Written-off stock line in Profit. A later cost change does not restate past months. A record without a cost price adds its units but no money - it is marked "without a cost price".
- The four figures at the top summarise the whole chosen period: the losses (with their units and records), the average per month (or week), the biggest reason with its share, and how many units have no cost price.
- The chart draws one bar per month, split by reason - each reason always in the same colour. Months / Weeks switches to weeks when the period is 6 months or shorter. On a computer, hover over a bar to see its breakdown; on a phone, tap it - the breakdown opens under the chart. The current month is still running, so its bar may be lower.
- "By reason" and "By product" show the same losses as tables - value, units, records and share of the losses. A product opens to its variants. Every row opens its records in Write-offs for the same period, and View the write-offs opens the product's.
- Filters: search by product name, variant or SKU, reason (losses only) and period - by default the last 12 months. Pick a reason and the "Not a loss" block hides.
- Downloading: Export CSV is the product table; Export Excel adds a sheet by month (a column for each reason) and a sheet by reason. The files hold every product the filters match, not just the 25 on screen.
- Who sees it: every shop that tracks stock. In Users & access the report has its own permission, so a team member who writes stock off does not necessarily see what the losses cost.
COD by courier
The Reports → COD by courier screen shows what each courier collected from your customers on delivery, what it has paid out to you and what it still owes. The COD settlement tab in Orders stays the place where you upload payout reports and work the discrepancies - this report is the overview.
- The four figures at the top summarise the whole filtered set, not just the page you can see: COD collected, paid out by couriers, courier fee and still unpaid, in EUR and BGN.
- "Include unpaid" (on by default). Paid-out orders always count by their payout date - as the courier's payout report and your bank statement show them. Unpaid orders have no payout date, so they count by their order date, and only while the switch is on. Switching it off therefore only removes rows - a paid-out order never changes month. Switched off, it counts as a filter and "Clear" turns it back on; the last figure then holds mismatch shortfalls only and says the unpaid orders are hidden.
- Which orders count: cash-on-delivery orders with a courier that the Sales report counts too - excluding cancelled ones, unfinished "fast orders" and test orders. Store pickups never pass through a courier, so they are not here.
- How it adds up: for every order collected = paid out + fee + unpaid, to the cent. On a paid-out order the gap is the courier's fee. On a mismatch the gap is not a fee but money you are still owed, so it sits in "unpaid". Couriers today pay out the full amount and invoice their fee separately, so the fee is usually 0.
- Speedy and Sameday count as unpaid for now. Neither sends COD payout data yet, so their orders stay in "unpaid" until those connections are built. It does not mean the courier owes you that money.
- Against the Sales report: both reports count the same orders and price them the same way, but the month can differ - a payout at the start of the next month belongs to that month.
- Filters: by courier, by payout status (Paid out / Waiting / Mismatch), by period, and the switch. "Clear (n)" and the number of orders found sit on the right.
- "By courier": for each courier - orders, collected, paid out, fee, unpaid and mismatches, with a "Total" row.
- "COD orders": one order per row - number (a link to the order in Orders), payout date, courier, waybill, customer, collected, paid out and status. 25 orders per page, newest first.
- Downloading: the Download button opens a menu with Export CSV (one row per order) and Export Excel - the same sheet plus a second, "By courier". Both files hold every filtered order, not just the 25 on screen.
- On a phone the figures sit two by two, "By courier" becomes a list with the unpaid amount on the right, and each order is a card.
Abandoned carts
The Reports → Abandoned carts screen shows carts a customer started but didn't complete, along with the recovery status. Requires the abandoned-cart email add-on.
- The five figures at the top are the funnel: carts captured, reminders sent (up to 3 per cart), recovered (after a reminder), recovery rate and revenue recovered. They are computed over the period and the filters except the status - the status is a stage OF that funnel, and a funnel that shrinks when you look at one of its stages is not a funnel.
- Filters: search by email or name, by status (Open / Reminded / Recovered), by source (Checkout / Newsletter / Account - where the email was captured; you can pick more than one) and by period. The number of matching records sits on the right.
- The status is derived from the cart itself: no reminder yet - Open; after at least one - Reminded; if it turned into an order - Recovered. Beside the status you see how far the sequence got (e.g. 2/3), and a recovered cart carries a "View order" link.
- 25 carts per page. The export holds every row the filter matches, not just the 25 on screen.
- Downloading: the Download button opens a menu with Export CSV and Export Excel.
- On a phone each cart is a card: customer and status, email, source and date, item count and value.
Tips
- Download the Sales report at the start of the month for the previous month and hand it to your accountant.
- For "which order exactly is this" questions, use Orders with the same period.
- A split order counts once: the money of both parts is in the turnover, but the part split off is not a second order - the order count and the average order are as before the split. If one part is refused and cancelled, the other still counts as one order.
